WaveTrove Privacy Notice
Digital Zone Expert LLC ("Digital Zone Expert," "we," or "us") operates WaveTrove. This notice describes the limited personal information and diagnostic information that may be handled for WaveTrove licensing, troubleshooting, and product improvement.
1. Our no-sale and no-redistribution commitment
Digital Zone Expert LLC will not sell, rent, trade, license, or redistribute your personal information or WaveTrove telemetry to third parties. We will not provide that information to third parties for their own marketing, profiling, advertising, resale, or unrelated commercial use.
The information described in this notice is restricted to internal Digital Zone Expert LLC use for troubleshooting existing WaveTrove issues, protecting the licensing service from abuse, maintaining the service, and making future WaveTrove improvements. This is a core privacy commitment of WaveTrove and not a promise that third-party services are bound by policies outside their own systems; any operational service used to deliver a requested email or host a requested service may process the minimum data technically required for that function and may not use it for an independent purpose.
2. Information used to generate a license
When you request a WaveTrove license, we may collect and use:
- your name;
- your email address;
- the WaveTrove computer or machine hash used to bind the license;
- the generated license identifier, license edition, issue time, and expiry;
- delivery status and errors needed to deliver the license; and
- the request IP address and timestamp used for abuse prevention and rate limiting.
We use your email address to send the requested license and may contact you about WaveTrove future development, maintenance, troubleshooting, or related product information. We do not use it for unrelated third-party marketing.
3. Troubleshooting and diagnostic telemetry
WaveTrove may collect telemetry only when a troubleshooting, diagnostic, support, or explicitly enabled service feature requires it. The purpose is to troubleshoot existing WaveTrove issues, identify failures, maintain service reliability, and guide future WaveTrove improvements.
Depending on the feature and the information you choose to submit, telemetry may include:
- WaveTrove edition, application version, build identifier, operating system, device or architecture information, and feature configuration;
- event timestamps, request paths, response status, error codes, exception messages, bounded stack traces, and application or service logs;
- IP address, user-agent or client identifier, network route or connection type, host/port information, latency, retry, timeout, and transfer status;
- license identifier, machine-binding status, activation state, and relevant service configuration;
- media/container/codec and playback or conversion metadata needed to explain a failure; and
- diagnostic text, filenames, titles, artist or album metadata, or other data that you deliberately include in a support report.
WaveTrove does not need your passwords, private signing keys, payment credentials, or provider session cookies for ordinary troubleshooting. Do not include secrets or content that you are not authorized to disclose in a diagnostic report. Diagnostic submissions may contain user-provided content; we use such submissions only for the internal purposes described here.
WaveTrove is not described by this notice as an always-on telemetry service. Local application operation does not by itself authorize unrelated data collection. Network requests and diagnostic reports are limited to the feature, account, configuration, or support action that causes them.
4. How we use the information
We use the information only to:
- generate, deliver, validate, and support WaveTrove licenses;
- prevent registration abuse and protect service availability;
- troubleshoot crashes, errors, compatibility problems, and failed media operations;
- investigate security and reliability issues;
- measure whether a fix or improvement addresses an existing issue; and
- develop and improve future WaveTrove versions.
We do not sell or redistribute the information, and we do not use it to build or provide third-party advertising or data products.
5. Retention and deletion
Unless a longer period is required by law, legal hold, dispute, security incident, or an active license obligation, the operating targets are:
- acceptance and license records: the license term plus seven years;
- email delivery and registration error logs: 90 days;
- rate-limit and abuse-prevention records: 30 days, extended only for a documented incident or legal hold; and
- diagnostic telemetry and support submissions: 90 days after the issue is closed, extended to one year only for a documented security, reliability, dispute, or legal need.
At expiry, Digital Zone Expert LLC deletes or irreversibly anonymizes the information unless an exception is documented. Backups follow the same deletion objective when they rotate and are not restored for active use.
Requests for access, correction, deletion, portability, restriction, or an applicable objection may be sent through the contact channel below. Requests are verified proportionately and answered within the time required by applicable law; the internal target is 30 days, with a lawful extension notice when needed. DZEX may retain information that law, security, fraud prevention, a dispute, or a legal hold requires.
6. Third-party services
An email delivery or hosting provider may technically process the minimum information required to deliver a license or operate a requested service. That processing is operational delivery, not a sale or redistribution of your information by Digital Zone Expert LLC. DZEX will document the provider's data categories, purpose, security terms, retention/deletion terms, and prohibition on independent unrelated use. Provider access does not authorize unrelated marketing, profiling, advertising, resale, or redistribution.
7. Changes and contact
This notice may be updated for a future WaveTrove release. Mandatory legal, jurisdictional, consumer-rights, privacy, and service-provider requirements continue to apply. This notice does not provide a physical business address; the contact URLs below are the available support channel.
The operational retention, rights-request, telemetry, incident, vendor, and jurisdiction controls are maintained in docs/legal/WaveTrove-Privacy-Operations-Standard.txt.
